Moving from Sydney to Newcastle: A Practical Planning Guide

Newcastle sits about 160 kilometres north of Sydney, roughly a two hour drive according to the City of Newcastle’s Visit Newcastle guide. That distance shapes almost every decision when you are moving from Sydney to Newcastle: how the day is planned, how the move is quoted, and what happens if your keys do not line up. Because you stay in New South Wales, the paperwork is lighter than an interstate move. You update your address rather than transfer a licence.

Both are fair, because the real figure depends on where in Sydney you start, where in the Hunter you finish, and the traffic on the day. Plan around the longer estimate and you are less likely to have a crew waiting at a locked door.

Newcastle or the wider Hunter?

The NSW Government’s Hunter Regional Plan 2041 describes a region of around 860,000 people “with Greater Newcastle at its heart”. A move to Newcastle can just as easily end in Lake Macquarie, Maitland, Cessnock or Port Stephens. On a fixed price job, extra cost can apply for large staircases, heavy or specialty items and access problems such as a long carry or no parking, and we raise those before moving day rather than on it.

Packing

Packing yourself, packing some rooms, or having it done for you changes the job. Our packing and unpacking team can take one room, just the breakables, or the whole house. On the day, the crew brings moving boxes, shrink wrap and other packaging materials, and shrink wrapping of mattresses is included free when you book. Travel time, including the return journey

For moves within Sydney, a call out covers travel time based on distance from our depot. On regional or longer moves, travel time can also apply to the return journey, because the crew and truck still have to drive back to Sydney once your last box is in. Ask every removalist whether their quote includes travel time, including the trip back.

Fixed price or hourly

How do you plan a move day across a two hour drive?

A move to Newcastle has three parts: loading in Sydney, the drive, and unloading at the other end. Most problems on the day come from the gaps between them.

Be at the Newcastle end before the truck

Someone with the keys needs to be at the new address when the truck arrives. Leave as soon as the truck is loaded and the old place is checked, or send one person ahead, and give the crew the name and number of whoever will meet them.

Line up the keys at both ends

If you rent in Sydney, the NSW Government’s page on minimum notice periods for ending a residential tenancy sets 21 days for a tenant ending a periodic tenancy and 14 days for a tenant leaving at the end of a fixed term. Those are minimums, and more notice gives you more room to pick a date that suits both ends.

When the dates do not line up

If you have to be out of Sydney before the Newcastle place is ready, storage bridges the gap. The NSW Government’s advice on choosing a removalist suggests checking that your contract covers any storage costs if the move is delayed. On a regional move, that clause is worth reading twice.

A weekday gives you more choice

Weekdays typically offer better availability than weekends and peak dates, and can be more cost effective as well. A weekday move also falls inside our office hours, Monday to Thursday from 7:00 to 17:30 and Friday from 7:00 to 17:00, if you need to call us on the day.

What travels with you, not on the truck

We do not carry hazardous materials: gas bottles, flammable liquids, batteries, jerry cans, or anything holding fuel. Pack a priority box too. Ours is brightly coloured so the things you need first, such as chargers, medication and a change of clothes, are easy to find on the first night.

Who do you need to tell when you move to Newcastle?

Because you are staying in NSW, this is a list of address updates rather than transfers.

  • Transport for NSW, for your driver licence and vehicle registration. You must give your new address within 14 days of moving. Service NSW’s guide to moving house lets you add your licence and registrations to a MyServiceNSW Account and change the address in one go, and your CTP insurance details update automatically with your registration.
  • The Australian Electoral Commission. Once you have lived at the new address for at least a month, you can update your enrolment details online, using your licence, passport or Medicare details to confirm who you are.
  • Australia Post. Mail redirection runs for 1, 3, 6 or 12 months, and you must prove your identity when you apply, so set it up before you go.
  • Other NSW records on the Service NSW guide, such as your Opal card address, a Working with Children Check, and your dog or cat’s registration.
  • Your energy, water and internet providers, with a disconnection date in Sydney and a connection date in Newcastle.
  • Your bank, insurers, employer, Medicare, your GP and dentist, and any school or childcare provider.
  • Your new council. Look up your bin collection day on the council website, for example the City of Newcastle’s collection services page, since many Hunter suburbs sit in other council areas.

How do you choose a removalist for a Sydney to Newcastle move?

There is no single best removalist for this route, whatever a ranking list says. The useful question is whether a removalist passes a few checks that take minutes.

Get the quote and the terms in writing

The NSW Government’s choosing a removalist page is direct: “Always ask for a written quote before hiring a removalist company.” It also says to read the contract and check that it covers the full service, an inventory of your goods, pickup and delivery details, payment terms, and storage costs if the move is delayed.

Check accreditation yourself

The same page notes that “You can check whether a removalist is accredited on the AFRA website.” An AFRA logo on a truck is a claim, so search the business on AFRA’s free Find an AFRA Removalist directory by suburb or postcode. We are AFRA accredited and fully insured, and we are happy to be checked the same way.

Ask about insurance

The NSW Government recommends getting your own insurance for a move, and notes that removalists are not legally required to insure your belongings. Our removals insurance runs from restricted cover for events such as fire, flood and collision, to full cover that adds loss or damage during packing, loading and unloading, plus separate cover while goods are in storage. It is not compulsory.

  • Is this a fixed price or an hourly rate?
  • Does the quote include travel time, and does that cover the return journey to Sydney?
  • What size truck are you sending, and will everything fit in one trip?
  • What happens to my belongings if the Newcastle keys are late?

A Sydney to Newcastle moving timeline

Start as early as your dates allow, and adjust the order to suit your move.

  1. As soon as you have a rough date, get two or three written quotes, check each removalist on AFRA’s directory, and ask about travel time and storage.
  2. Once your Newcastle start date is confirmed, give notice on your Sydney lease or confirm settlement, keeping the NSW minimum notice periods in mind.
  3. Book your removalist in writing, choose a weekday if you can, and arrange storage now if the dates do not line up.
  4. Three to four weeks out, declutter room by room so you are not paying to move things you will not use in Newcastle.
